This Event Organizer Policy explains the rules for users who create, promote, or manage events on VTUSync. Events may include workshops, seminars, study sessions, hackathons, college fests, job fairs, or similar gatherings. It works together with our Terms & Conditions, Privacy Policy, Community Guidelines, Safety Center, and other policies.
1. What counts as an event on VTUSync
Events on VTUSync are gatherings or activities organised by users for students and communities. Examples include:
- Academic workshops, training sessions, or doubt‑clearing classes.
- Campus events, club meets, or college fests.
- Hackathons, coding contests, or project showcases.
- Career fairs, job/internship drives, or placement prep sessions.
- Study groups, peer mentoring, or exam prep sessions.
Events must be relevant to students and follow all VTUSync policies. Non‑student events (e.g., commercial parties, unrelated promotions) should not be listed on VTUSync.
2. Event organizer responsibilities
If you create or manage an event on VTUSync, you agree to:
- Provide accurate information: Event name, date, time, location (online or offline), agenda, eligibility, and costs (if any) must be clear and truthful.
- Follow safety rules: Offline events must be in safe, public locations. Do not ask attendees for money, sensitive data, or private information unless clearly explained and legitimate.
- Respect attendee privacy: Do not share attendee lists, contact details, or photos without explicit consent.
- Comply with laws and college rules: Events must follow local laws, VTU/college regulations, and any venue requirements. No events that promote cheating, illegal activities, or academic misconduct.
- Be responsive: Respond to attendee questions and update the event if there are changes (cancellations, delays, venue shifts).
You are responsible for your event, attendees, and any issues that arise. VTUSync is not an event organiser, ticket seller, or liability carrier.
3. What event organizers must not do
Event organisers are strictly forbidden from:
- Fake or scam events: Creating events to collect money, data, or attendance without delivering what was promised.
- Misleading information: Exaggerating attendance, speakers, benefits, or outcomes to lure participants.
- Unsafe practices: Organising events in risky locations, without safety measures, or pressuring attendees for personal information.
- Discriminatory events: Excluding people based on caste, gender, religion, or other protected characteristics unless clearly justified by the event’s academic or professional purpose.
- Cheating or academic misconduct: Events disguised as “exam prep” that actually share leaked papers or coordinate cheating.
- Spam or abuse: Mass‑creating similar events, posting the same event repeatedly, or using events to spam users.
Violations can lead to event removal, organiser account restrictions or bans, and potential refunds or escalation to authorities.
4. Event listing requirements
To create an event on VTUSync:
- Clear title and description: What is the event? Who is it for? What will happen?
- Date, time, and location: Be specific (e.g., “Room 101, Main Block, 3 PM Jan 20” or “Google Meet link provided after RSVP”).
- Organiser details: Your name, college/role, contact method (if comfortable sharing).
- Costs and fees: Clearly state if there is any charge and what it covers. Free events are preferred.
- RSVP or capacity: If limited spots, mention how to register.
- Rules and expectations: Code of conduct, cancellation policy, what attendees should bring.
Events that look incomplete, suspicious, or spammy may be rejected or removed without warning.
5. Payments, tickets, and refunds
VTUSync does not currently process event payments or sell tickets directly. If your event involves money:
- Use trusted third‑party payment methods and clearly explain fees (e.g., “Rs 200 for materials and venue”).
- Provide clear refund policies (e.g., “Full refund if cancelled before Jan 15”).
- Do not ask for “deposits”, “registration fees”, or money before proving the event is legitimate.
If attendees complain about non‑delivery or scams, VTUSync may investigate, remove the event, restrict your account, and cooperate with payment providers or authorities.
6. Offline event safety
For events that meet offline:
- Choose safe locations: Public venues, college auditoriums, cafes, or co‑working spaces. Avoid private homes or isolated areas for first meetings.
- Share details: Tell attendees the exact venue, emergency contacts, and safety measures.
- Follow COVID or health rules: If applicable, mention masks, vaccination checks, or capacity limits.
- Have a responsible adult: Events for younger students should have faculty/staff oversight.
VTUSync is not responsible for offline safety but may remove event listings or ban organisers who create clearly unsafe or predatory events.
7. Enforcement for event organisers
If you violate this Policy or other VTUSync rules:
- Event removal: Suspicious, fake, or harmful events may be deleted immediately.
- Warnings: First‑time minor issues may get a notice to correct.
- Account restrictions: Repeated problems or moderate violations may limit your ability to create events, post, or message.
- Suspension or ban: Serious violations (scams, unsafe events, discrimination, cheating) can lead to temporary or permanent account bans.
VTUSync may also refund affected users or escalate to colleges/authorities for serious fraud or safety issues.
8. Attendee rights and responsibilities
Event attendees should:
- Read the full event description before committing time or money.
- Verify the organiser’s profile and history on VTUSync.
- Report suspicious events or organisers immediately.
- Follow event rules and respect other participants.
If you attend an event and feel unsafe or scammed, contact support@vtusync.in and local authorities if needed.
9. Changes to this policy
VTUSync may update this Event Organizer Policy as features change or new risks appear. When we do, we update the “Last updated” date and may show a notice in the app or website.
Continued use of event features after changes means you accept the updated policy.
